How do I import product costs from Shopify or a spreadsheet?
Pull each variant's Cost per item from Shopify in one click, or upload a CSV or Excel file and match its columns to TrueROAS cost fields.
Import costs from Shopify
If your store runs on Shopify, TrueROAS can copy the Cost per item of every product and variant from Shopify, so you do not have to type your costs twice.
- Open Setup in the left menu and click Cost Manager.
- Click the green Import Costs from Shopify button next to the Cost Settings heading. While the import runs, the button reads Fetching costs....
- Keep the page open while the progress box goes through two steps. During 1. Preparing in Shopify you see Shopify is building your product export, which can take a few minutes for a large catalogue. During 2. Importing costs you see how many products have been processed, a percentage with the time left, and a line such as 2,340 cost entries saved (one per size/variant).
- When it is done, you see a message such as Imported costs for 120 products from Shopify, and the window Product Costs Imported from Shopify opens. Click Done to close it.
What the import changes:
- A cost from Shopify replaces the product cost you had in TrueROAS for the same product or variant. A product with sizes or other variants gets a cost for each variant.
- Products without a Cost per item in Shopify keep the cost they have in TrueROAS.
- Only product costs are imported. Your handling and shipping costs stay as they are.
- Costs are saved while the import runs. If you leave the page, or the import stops with a red error message, the costs saved so far are kept. Click Import Costs from Shopify again to continue.
The window Product Costs Imported from Shopify shows a line such as Imported costs for 120 of 150 products: the products that had a cost in Shopify, out of all products checked. Under it you see how many had no cost, for example 30 had no cost set in Shopify, and how many cost entries were saved. A table shows a sample of the imported costs, new and changed ones first, with Product, SKU, Shopify Cost, Current Cost and Status. Current Cost is the cost TrueROAS had when the import started, but only for the products and variants listed in the product table further down Cost Manager. For those, Different means the Shopify cost replaced another cost, and Already set means the cost was the same. New means no earlier cost was known. Every product or variant that is not in the product table shows a dash under Current Cost and New, even when the import replaced a cost you had. Which products are in the table is explained in Why is a product missing from the Cost Manager table?. Every cost in the window is already saved, and you can still change a cost by hand in the product table further down Cost Manager.
If some Shopify costs are in another currency than your store, the window shows Currency mismatch detected. Those costs are saved as they are, without converting, so check the amounts.
When nothing can be imported:
- If none of your Shopify products has a cost, you see a message such as None of your 150 Shopify products have a cost set. Add costs in Shopify, then import again. Fill in the Cost per item field in the pricing of each product in Shopify, then click Import Costs from Shopify again.
- If Shopify has no products to send, you see No product costs found in Shopify.
Import a CSV or Excel file
Use a file when your costs are not in Shopify or your store runs on another platform.
- In Cost Manager, go to Import Cost Data near the top of the page.
- Click Download Template to get a CSV file with the columns Product ID, Product Name, Cost of Goods, Shipping per Item and Currency. Hover over the info icon next to the link to see example rows and the note Product ID is required, all other fields are optional.
- Replace the example rows with one row per product or variant, and save the file as .csv, .xlsx or .xls.
- Click Upload File and pick your file. For an Excel file, only the first sheet is read.
- Under Map Columns, pick the column of your file that holds each value: Product ID Column, Product Name Column, Cost of Goods Column, Shipping per Item Column and Currency Column. Pick None for a value your file does not have.
- Check your first rows under Preview (First 5 rows).
- Click Save Mappings. This saves the costs from your file. When it is done, your browser shows Data saved successfully!
How TrueROAS reads your file:
- Save Mappings stays greyed out until you pick a Product ID Column.
- The product ID must be the ID of the product or variant in your store, or the product name exactly as it appears on your orders. A name with a slash (/) in it never matches, so use the ID for those products. Only this column decides which product a row belongs to.
- Cost of Goods becomes the Product Cost of that product or variant, and Shipping per Item its Shipping per Item, just as if you typed them in the product table.
- A cell that is empty or not a number is skipped, so the import never clears a cost you already have.
- The Currency column is saved with each cost but does not convert anything. Enter every amount in your store currency.
Good to know
- Imported costs are saved for the whole store, so everyone on the store sees the same costs and profit.
- After either import, Cost Manager updates the costs on your recent orders. How that update works, and how each cost counts on an order, is explained in How do I add my product costs in Cost Manager?.
- Only Shopify stores have the Import Costs from Shopify button. Other stores use a file.
- Handling fees cannot be imported, from Shopify or from a file. Enter them in Cost Manager by hand.
- You cannot match a cost to a product by its SKU. Use the product ID, the variant ID or the product name.
- TrueROAS does not check whether the product IDs in your file match your products.
