How do I invite someone to my team?
Send an invite by email or share a link from Team Members in General Settings, and choose their role, their stores and their permissions.
Open the invite form
- Open General Settings from the left menu and click the Team tab.
- On the Team Members card, click Manage. The Manage Team Members window opens.
- Click + Invite next to Team Members.
Only the store owner and admins can invite people. Who sees the Team tab, and what this window shows for everyone else, is explained in What can I do on the Team tab in General Settings?.
Send an invite by email
- Under Choose role, click Admin (Full access + manage team & billing), Team Member (Full access to all stores) or Store Access (Access to selected stores only). Team Member is picked when the form opens.
- For Store Access, tick the stores they may see under Pick which stores they can see:. Until you tick one, Please select at least one store shows and you cannot send the invite.
- Under Permissions, turn parts of TrueROAS on or off for this person. Each role starts with its standard permissions, and a lock icon marks the ones you cannot change for that role. What each permission covers, and what each role starts with, is explained in What can team members see and change on the Dashboard and Ads Manager?.
- Type their email address in the field that reads Enter email address. If the address is not valid, you see Please enter a valid email address and the button stays greyed out.
- Click Send Invite. The button reads Sending... while it works.
- The window Share Link with Someone! opens. It names the email address and the access you gave: Admin, Member or Viewer. This window calls Store Access Viewer. Under You can also share this invite link directly: is the invite link with a copy icon, and at the bottom are Copy Link and Close.
The person gets an email from hello@trueroas.io with your name as the sender. It is headed You've Been Invited! and has an Accept Invitation button. If they reply, the reply goes to your email address. What they see when they open the invite is explained in How do I join a team when someone invites me to TrueROAS?.
Share an invite link instead
- Fill in the role, the stores and the permissions as described above. You do not need an email address, and no email is sent.
- Click Copy Link next to Cancel. This creates the link and opens a window. It does not copy anything yet.
- You see Invite link generated successfully! The Share Link with Someone! window says an invite link has been generated for Admin, Member or Viewer, that it can be shared with anyone and that it is only active for 7 days.
- Click Copy Link in the window, or the copy icon next to the link. You see Invite link copied to clipboard!
- Send the link yourself, for example in an email or a chat message.
Give someone access to some of your stores only
The Store Access section, under the team list in the same window, has its own form for Store Access invites:
- Click + Grant Access next to Store Access. Every store under Pick which stores they can see: is ticked.
- Untick the stores they should not see.
- Check Permissions. They start with the standard permissions for Store Access.
- Type their email address and click Send Invite, or click Copy Link to create a link instead, as described above.
- After sending, you see Invite sent successfully! and the Share Link with Someone! window.
If you have no stores yet, the section reads No stores connected yet. Connect a store in Store Settings to manage access. and there is no + Grant Access button.
Follow up on an invite
Your invites are listed in the Manage Team Members window:
| List | What it shows |
|---|---|
| Active Email Invites | Admin and Team Member invites sent by email, with the access they give, Full Access + Admin or Full Access, and how long until they expire. |
| Active Invite Links | Admin and Team Member links created without an email address, each called Invite Link. Click a row to copy its link. |
| Pending Invites | Store Access invites, in the Store Access section. Each shows the email address, or Invite Link with a copy icon for a link without an email address, and Viewer with the number of stores or the store's name. |
A green Registered label next to an email address means the person created a new TrueROAS account with that address. The line under it then starts with Used and says how long ago that was.
To cancel an invite, click its red bin icon. The link stops working right away, and anyone who opens it is told it has expired. Deleting an invite does not remove someone who already joined with it. To remove a person, see How do I change a team member's role or permissions, or remove them?.
There is no button to send an invite email again. To send a new email, delete the old invite and send a new one.
Good to know
- An invite expires 7 days after you create it. An expired invite stays in the list for up to 7 hours and then disappears.
- The link is not tied to the email address. Anyone who opens it and logs in joins with the role, stores and permissions you picked, and more than one person can use the same link until it expires or you delete it. Only share it with people you trust.
- You can only copy the link of an email invite in the Share Link with Someone! window, right after you send it. The lists do not offer it again.
- If the person creates a new TrueROAS account with the invited email address and never opens the link, they still join, as explained in How do I join a team when someone invites me to TrueROAS?, but with the standard permissions of the role instead of the ones you picked.
- A Store Access invite never lowers the access of someone who is already an Admin or Team Member on your team. To give someone with Store Access more stores, see How do I change a team member's role or permissions, or remove them?.
- Send Admin and Team Member invites from the store owner's login, so the person joins the store owner's team.
- You invite one email address at a time.
- On a phone, the Manage Team Members window fills the screen.
- To invite a new client with your agency discount link instead, see How do I invite a new client with my discount link?.
