How does my team share Meta and Google Ads connections?

See whose Meta and Google Ads login your team uses, when an Admin's login is saved or replaced for the whole store, and who can disconnect it.

Whose login the store uses

TrueROAS reads your Meta and Google Ads numbers, such as ad spend, through a saved login. For each of the two ad platforms, a store uses:

  1. The store owner's own login.
  2. If the store owner never connected that ad platform, the store's own connection, which an Admin's login fills as described below.

Team Members and Store Access users see the store through this login, and so do the report emails, the Alert Agent emails and Trew. Admins see the Dashboard through their own logins, and through the store's connection for an ad platform they have not connected themselves.

A team member can also choose to see the store through their own login. That choice, and what happens when a login stops working, is explained in What do I do when my Meta or Google Ads connection stops working?.

When an Admin's login becomes the store's connection

When a team member with the Admin role opens a store where the store owner has no Meta login, and the store has no Meta connection or one that Meta no longer accepts, TrueROAS saves the Admin's own Meta login as the store's connection. Google Ads works the same way. There is no button: it happens when the Admin opens the store.

It only happens when:

  • The Admin has connected that ad platform on their own login.
  • Meta or Google accepts the Admin's login, and the login can see the ad account picked for the store.
  • The store has no connection for that ad platform yet, or Meta or Google no longer accepts it. A working store connection is never replaced, and neither is the store owner's own login, even one that stopped working.

The store owner then gets a notification and an email that name the Admin and the ad platform, and say whether the store had no connection or its connection had stopped working. See What does the notification bell show?.

If your store sends its sales to Google Ads and that stopped because its Google login was removed or no longer accepted, the Admin's Google login takes over sending too, as long as it can see the Google Ads account the sales go to. A Google login that still sends your sales is never replaced. Sending sales to Meta does not change. See Why did I get an email asking me to reconnect Google Ads?.

When the store owner connects their own login

The store owner's own login always comes first. As soon as the store owner connects their own Meta or Google Ads login, the store uses it for everyone, and the store's connection is no longer used for that ad platform. See How do I connect, refresh or disconnect my Facebook account for Meta Ads? and How do I connect, re-link or unlink Google Ads on the Integrations page?.

If the store's connection stops working, the store owner gets the Meta connection issue or Google Ads connection issue window. Clicking Reconnect there connects the store owner's own login, which then takes over for everyone.

Who can disconnect it

Nobody can disconnect the store's connection inside TrueROAS.

  • Everyone else on the store, the store owner included, sees the Admin's name where the connection is shown: in a line that starts with Using in the Meta and Google Ads windows, and under the Meta and Google Ads account fields in a line that starts with Read-only: only. There is no Disconnect option.
  • The Admin whose login it is cannot disconnect their own Meta or Google Ads login in TrueROAS while the store uses it, because the whole store depends on it. Under the Meta ad account field they see Shared with the store. Ask the owner before disconnecting., and Disconnect is not in the Google Ads account list.
  • That Admin can still renew their own login, with Refresh access token for Meta, or Google Account Already Linked (Press to re-link) for Google Ads. The next time they open the store after Meta or Google stops accepting the store's connection, the renewed login replaces it.

Removing TrueROAS from the Facebook or Google account settings of that login, outside TrueROAS, stops the connection for the whole store.

Good to know

  • The store's connection applies to the whole store, not only to the person who opens it.
  • Only Meta and Google Ads have a store connection. TikTok, Pinterest, Snapchat, Microsoft Ads and AppLovin do not.
  • Team Members and Store Access users never fill the store's connection by opening the store. When the store owner's login stops working, a Team Member can still offer theirs with Fix it for the whole store, as described in What do I do when my Meta or Google Ads connection stops working?.
  • If the store's connection stops working, the next Admin with a working login of their own who opens the store replaces it. The store owner connecting their own login also fixes it for everyone.
  • While the store's Google Ads connection works, the store owner's Google Ads window shows the Admin's name and no button, so the store owner cannot link their own Google login from that window.
  • When TrueROAS support looks at your store, no connection is saved.
  • The ad accounts each store uses are picked separately. See How do I connect or change the ad account behind the Meta, Google and Tiktok tabs?.
